Under limited supervision, with independent judgement and decision making, the Associate Director - Human Resource leads and directs the routine functions of the internal Human Resources (HR) department including end-to-end support on talent management, onboarding to offboarding, developing and managing employee policies and practices, handling employee queries and concerns, employee communication, process and tool transitions, performance management, payroll information, managing audits and employee engement.

Essential Job Functions:

  • Acts as a strong business partner to the organization and provides support & guidance to direct reports and other staff, supports the HR leadership, when complex, specialized, and sensitive queries and issues arise; may be required to administer and execute routine tasks in investigating on complaints, and terminations..
  • Support the Director-HR and the business leadership with developing and implementing HR strategies, policies, guidelines, SOPs and other initiatives aligned with the overall business strategy. 
  • Ensure consistent pre-onboarding, onboarding and orientation application for all internal new hires thereby maintain a great employee experience in the process.
  • Manage the complete employee documentation in both hard and soft copy, internal handbook, personnel policies, and job descriptions.
  • Ensure background checks for new hires are in-line with corporate standards.
  • Assist with developing and managing programs to increase retention and employee morale.
  • Manage HRIS system and provide insight on growth and development of resources.
  • Oversee/Conduct employee disciplinary meetings, terminations, and investigations.
  • Ensure consistency in personnel practices including employee warnings, performance improvement plans, and separations.
  • Administer R&R and performance review program to ensure effectiveness, compliance, and equity within the organization. 
  • Manage attendance, leaves, extra pay day, develop employee monthly payroll information for payroll processing done by the finance team.
  • Analyze trends in compensation and benefits; research and propose competitive base and incentive pay programs to ensure the organization attracts and retains top talent.
  • Conduct onbioarding interviews, exit interviews and other employee surveys as needed.
  • Maintain compliance with central, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
  • Sets high standards of performance for self and others and assume responsibility and accountability for successfully completing assignments or tasks; adhere to established SOPs and goals. Establish course of action for self and others to ensure that work is completed efficiently, leading projects as needed. 
  • Build, maintain and promote relationships with team members, peers across disciplines and all other company team members ensuring effective coordination of communications of department initiatives.
  • Attend webinars, seminars and other trainings to stay up to date on laws and best practices.
  • Special projects and other duties as assigned by supervisor.

Supervisory Responsibilities:

  • Manage the success of the HR Team by:
  • Effectively leads and motivates team by lending appropriate support to achieve success.
  • Ensuring effective communication by providing ongoing feedback and facilitating regular meetings. Setting goals for performance and project deadlines in ways that comply with company’s plans and vision and create accountability. Establishing performance objectives, tracking performance and evaluating progress toward objectives.
  • Organizing workflow and ensuring that employees understand their duties or delegated tasks.
  • Monitoring employee productivity as well as monitoring the team is meeting established KPIs and adhering to SOPs; providing constructive feedback and coaching.
  • Conducting performance evaluations, motivating team members and creating strategies to boost productivity.
  • Preparing development plans for employees, giving timely guidance and feedback and ensuring they have the necessary support and resources.
  • Attracting, developing and retaining talent by ensuring the right skills and motivations are aligned with business and client needs.
  • Ensuring adherence to legal and company policies and procedures and undertake disciplinary actions if the need arises.

Knowledge, Skills, and Abilities:

  • Demonstrated knowledge and experience in Human Resources best practices with emphasis on employee relations as well as related central, state and local laws and regulations required. Understanding of multi-state employment laws preferred.
  • Ability to make recommendations to effectively resolve escalations by using judgment that is consistent with the standards, practices, policies, procedures, regulations and/or government law.
  • Strong verbal and written communication skills and interpersonal effectiveness at all levels in the organization and across cultures.
  • Ability to apply change management initiatives to assist in business transformation.
  • Must use logic and reasoning to make immediate decisions under pressure or tight deadlines.
  • Ability to make proper judgment calls when presented by a situation/problem.
  • Strong sense of business ethics including the ability to handle confidential information appropriately.
  • Able to effectively manage multiple projects and attend to daily HR matters while maintaining focus and follow through on issues until resolved and delivering results as committed.
  • Demonstrated proficiency in conducting root cause analysis and strong problem solving and decision-making skills.
  • Skill in monitoring/assessing the performance of self, other individuals, or organizations to make improvements or take corrective action.
  • Ability to research and analyze various types of data.
  • Ability to prioritize and efficiently execute a high volume and broad scope of tasks within tight deadlines, competing demands and changes in the work environment.
  • Ability to deal with frequent interruptions, changes, process and tool transitions, delays or unexpected events.
  • Strong organizational, analytical, and problem-solving skills.
  • Demonstrated ability to learn quickly.
  • Ability to collaborate with others effectively
  • Demonstrated ability to consult effectively with all levels of management with multiple conflicting priorities.
  • Ability to establish credibility, be decisive and be able to recognize/support the organization's preferences and priorities.

Education and Experience:

  • MBA degree in Human Resources, or a related field or equivalent work experience is required.
  • 14 -18 years of related Human Resources experience required.
  • At least 5 years’ experience leading and empowering teams.
  • PHR, SPHR, SHRM-CP or SHRM-SCP certification preferred.
  • Proficiency with Microsoft Office software (Excel, Word, PowerPoint) and demonstrated ability to learn other applications as needed.
